Two enquiries a year from the same property manager are one relationship, not two emails

An enquiry arrives as an email, gets forwarded twice, and is forgotten by Thursday. The Customer Record keeps it as something with a state: who it was, which company they work for, what they read before getting in touch, what was said, and whether it became work. It starts deliberately simple — new, contacted, qualified, customer — and grows only if your business needs it to. It is also what turns anonymous traffic into a named commercial outcome.

The Customer Record is Siteleon's built-in model of the people and companies who contact you. Every form on your site writes into it, and everything downstream — attribution, advertising signals, revenue — reads from it.

What data moves, and which way

  • In from your site: form submissions, booking requests and calls where tracked, with the session that preceded them.
  • In from your inbox where you connect Google Workspace or Microsoft 365: the emails exchanged with that contact.
  • Out to the Analytics Engine: which sessions became enquiries, and which enquiries became customers.
  • Out to advertising platforms where you enable it: the fact that an enquiry qualified, so campaigns optimise toward it.

Setting it up

Four steps, in this order.

  1. 01Nothing to connect. The Customer Record is part of Siteleon and every form feeds it from day one.
  2. 02Choose your pipeline stages. The four defaults suit most businesses; add more only if you will use them.
  3. 03Connect Google Workspace or Microsoft 365 if you want email threads attached to contacts automatically.
  4. 04Decide who on your team sees contact details, and set retention — how long an unconverted enquiry is kept.

Permissions

Access is set per person and per workspace, so a part-time colleague can work enquiries without seeing revenue. Contact data is never used to improve anything outside your workspace, never shared with other Siteleon customers, and never sold. If you connect an inbox, Siteleon reads only threads involving addresses already in your record.

Where it stops

This is built for a service business tracking enquiries through to work won. It is not a replacement for a full sales-force CRM with territories, forecasting and quota management — if you already run HubSpot or Salesforce, connect it and let that system stay authoritative. Matching an enquiry to an earlier anonymous session depends on consent and on the same device being used, so some journeys start at the form. Siteleon does not send email on your behalf without your approval.
