Communication

The channel your team already has open.

Field teams do not read marketing dashboards, and they do not need to. Siteleon posts enquiry cards and genuine problems into the Teams channels your people watch on their phones, split by service or region so the Alicante team is not woken for work in Valencia. Someone claims the card, and that assignment appears in Siteleon. Approving a change to the website still happens in Siteleon, where the preview and the approval record live.

What connects

You add the Siteleon app to the teams and channels that should receive messages, and choose which events each one gets. It posts cards and listens for the responses to them.

What data moves, and which way

  • Sent: an enquiry card to the team and channel you choose, with the service, the location and the page it came from.
  • Sent: alerts that need a person — a failed form, a domain or certificate problem, traffic that is not behaving like customers.
  • Received: the teams and channels available to you, so messages can be routed by service or region.
  • Received: the response to a card — claimed, assigned or dismissed — recorded against the enquiry.

What Siteleon can do with it

  • Put enquiries in front of engineers on their phones rather than in a mailbox someone opens on a laptop at six.
  • Split notifications by region, so each branch only sees the work it will actually attend.
  • Assign an enquiry to a colleague from the card and have that ownership recorded in Siteleon.
  • Keep a trace of who was told what and when, so a missed enquiry can be traced instead of argued about.

Things you could ask for once it is on

  • Send hotel chiller enquiries to the commercial team channel and copy the branch manager.
  • Do not post anything to Teams between eight in the evening and seven in the morning unless a form has stopped working.
  • Who claimed the enquiry from the Alicante emergency page last Thursday?

Setting it up

Four steps, in this order.

  1. 01Add Siteleon from the Teams app catalogue — your administrator may need to allow it for the organisation first.
  2. 02Add the app to each team and channel that should receive messages.
  3. 03Choose the events each channel receives, and set quiet hours for anything that is not urgent.
  4. 04Run a test enquiry, confirm the card reaches the channel, and confirm an assignment writes back.

Permissions

Siteleon asks to post into the teams and channels you add it to, and to read the names of those teams and channels for routing. It never asks for chat history, meeting recordings, transcripts, calendars or files, and it never reads a channel it has not been added to.

Where it stops

Siteleon posts cards and listens to its own cards. It does not read your conversations, join meetings or store transcripts, so what your team agrees in a chat stays in that chat and never reaches the customer record. Publishing a page or approving a recommendation happens in Siteleon, not from a card. If your administrator blocks third-party apps in Teams, the connection cannot be enabled from Siteleon's side — that permission sits with them.
